What your program requires of the person
The rules are read before anybody is approached, because a preceptor who fails one of them costs a term rather than a week. They come from your own handbook, they vary more than students expect between schools, and a verbal yes from somebody ineligible is the most demoralizing thing in this process.

Why clinicians decline, and what changes an answer
Almost never because of you. They already have a student this term; their employer has a policy about it; your dates do not fit their schedule; the last student needed more supervision than the clinic could spare. These are logistical refusals, and a logistical refusal is worth returning to next term rather than treating as a verdict.
What moves an answer is a short approach that respects the reading. The specialty, the number of hours, the dates, exactly which forms the school will send, who fills them in, and what you are not asking for. Clinicians say yes to requests they can evaluate in a minute and ignore requests that need a reply to understand.
Hours, signatures, and the record that makes them count
An hour worked and not recorded is an hour in dispute, and disputes at the end of a rotation are settled by the record rather than by memory. Entries are kept current as you go, the midpoint evaluation is asked for early enough to be worth having, and the closing one is collected while goodwill is fresh rather than a month afterward.
The agreement between school and site is the other silent deadline: until it exists, hours worked may not count at all. Can a preceptor be guaranteed?
No, and an honest range is given instead once your state, specialty and hour requirement are known. A guarantee in this market usually means a name that has not been asked yet. What is fixed here is the method: a live network approached directly, eligibility confirmed against your handbook before anybody is contacted, and a plain answer where a combination is genuinely difficult.
Do you write to clinicians pretending to be me?
No, and the refusal is firm. Approaches are drafted for you to send from your own address, under your own name, so that every representation made about you is one you have read and agreed to. Where a site prefers to correspond with a coordinator, that happens only with your agreement and only within what your school permits.
Can my own manager precept me?
Sometimes, and your handbook is the authority rather than custom. Many programs disallow a current supervisor outright, some allow it where the supervisory relationship is suspended for the rotation, and a few permit it freely. It is checked before anything is arranged, because a rotation completed under an ineligible preceptor is the worst outcome available in this process.
How many hours will my program want?
Your handbook answers that, and it is read here before a search begins, because hours drive everything else: how long the rotation runs, how many days a week the site must accommodate, and whether one preceptor can cover the requirement or two will be needed. Programs also differ on what counts as a direct patient care hour, which is worth settling early.
The site said yes but the agreement has not moved. What now?
That is the commonest stall and it is administrative rather than personal. An affiliation agreement has to cross two organizations that have never dealt with one another, each holding its own form and its own signatory, and neither treating it as pressing. So it is pursued rather than posted: completed the way each side expects, routed so that neither is left waiting on the other, and chased until two signatures exist.
